📘 Send Email to a Candidate or Contact from Manatal

📋 What is Manatal's Inbox?

Manatal's Inbox is the integrated email management system within the platform that allows you to communicate directly with candidates and contacts using your Key Partners business email. Thanks to the integration with Outlook 365, you can send, receive and manage all communications directly from Manatal's interface without leaving the platform.

Send professional emails to candidates or contacts directly from Manatal, using company templates or creating personalized messages.


It's essential to use the integrated Inbox because:

  • ✅ Centralizes all communications in the candidate's profile
  • ✅ Automatically tracks the history of sent emails
  • ✅ Uses your Key Partners business email
  • ✅ Speeds up the process with predefined templates
  • ✅ Keeps everything organized in a single system

⚠️ Mandatory Prerequisite

Before being able to send emails from Manatal, you need to have integrated Outlook 365 with the platform. Without this integration, you will not be able to use the email sending functionality.

📋 PART 1: Accessing a Candidate or Contact's Inbox

1. Navigate to the profile

From the Home Page, select the Candidates or Contacts section from the sidebar or search and open the profile of the candidate or contact you want to send the email to

2. Open the Inbox section

Once in the profile, locate the top menu Click on Inbox

3. Inbox overview

The Inbox is organized into three sections:

  • Inbox → Received emails
  • Sent → Sent emails
  • Draft → Saved drafts

📋 PART 2: Creating and Sending an Email

1. Start composing

In the Inbox section, click the "Compose" button and the email creation interface will open

2. Choose the writing mode

You have two options:

Option A: Write from scratch

  • Manually fill in all email fields
  • Subject, message body and attachments

Option B: Use a Template (Recommended)

  • Select a template from the dropdown menu
  • The system will automatically pre-fill the subject and email body

3. Available Company Templates

The main available templates include:

  • Email Privacy → To send to candidates for privacy notice ( N.B. if you use the KeyPartners-Default pipeline, candidates who apply through LinkedIn or through a career page will automatically receive the privacy email and the application rejection email.)
  • Email Rejection → To communicate that a candidate has been dropped/rejected from a Job ( N.B. if you use the KeyPartners-Default pipeline, dropped candidates will automatically receive application rejection email.)

4. Customize and send

Review and customize the content if necessary Add any attachments Click Send to send the email

📋 PART 3: Tracking and Management

After sending:

  • The email will automatically appear in the Sent section
  • It will be recorded in the candidate/contact profile history
  • All received replies will appear in the Inbox section
  • Incomplete drafts will be saved in Draft

Tracking benefits:

  • Complete communication history
  • Visibility for the entire team
  • No lost or forgotten emails
