📖 What are Email Automations?

Email Automations are pre-set automatic emails that are sent to candidates when they enter certain stages of the pipeline. Each pipeline in Mantatal can have its own automations configured for different stages of the selection process.

In manatal, Automations = Automatic emails sent in response to specific actions (e.g. application received, candidate rejected).


This guide refers to automations set up in the Key Partners Default Pipeline.


🎯 Objective

View, understand and manage email automations configured in the "Key Partners - Default" pipeline to automatically communicate with candidates.

This functionality is useful because:

Automatic communication - Immediate responses without manual intervention

Professionalism - Candidates always informed about application status

Operational efficiency - Time savings on repetitive emails

Compliance - Automatic privacy policy confirmation and data processing


⚡ PART 1: Identifying Stages with Active Automations

A) Accessing the Job Pipeline

1. Navigate to the specific Job

  • Home → Jobs → Select the desired Job
  • View the pipeline Board

2. Observe the stage labels

  • The pipeline shows stages with their names:
    • Identified Candidates
    • Initial Interview
    • Standby
    • Shortlisted
    • (Other stages according to configuration)

3 Recognizing Automated Stages

  • Locate the green lightning icon ⚡
    • Green lightning icon = Active automation in that stage
    • The icon appears next to the stage name (Not all stages have automations)

4. Click on the green lightning icon

  • Click on the green lightning icon next to the stage name
  • The pipeline updates and shows the active automations for each stage
  • Stages without automations appear empty

5) Return to Normal View

  • Click again on the green lightning icon
  • The pipeline returns to standard view with candidate cards

📧 PART 2: Pre-set Automations (Key Partners Default Pipeline)

Overview

In the Key Partners Default Pipeline there are 2 pre-set automations, both in the "Identified Candidates" stage (first stage).


AUTOMATION 1: Drop Rejected ❌

What it is: Automatic email sent to a candidate when they are "dropped" (rejected) from the pipeline.

When it activates:

  • A recruiter manually drops a candidate from the pipeline by removing them from the evaluation process from the pipeline

How to view the email content:

  1. Activate the automations view (click ⚡)
  2. Locate the "Drop Rejected" automation
  3. Click on the eye icon 👁️ at the bottom right of the automation
  4. The email preview that will be sent automatically opens
  5. If necessary, it's possible to modify the text of the email template

AUTOMATION 2: Application Acknowledgement ✅

What it is: Automatic application receipt confirmation email sent when a candidate applies through external channels.

When it activates:

  • Candidate applies via LinkedIn (with active integration)
  • Candidate applies via public Career Page

Purpose of the email:

  1. Confirm application receipt
  2. Inform that they have been entered into the evaluation process
  3. Privacy Policy acceptance - Communicate personal data processing

📌 Important note: this automation does not activate when a candidate is manually inserted into this stage by the HR manager or through the people connect extension
