📘 Set the "Client Stage" (Client Status)

📖 What is Client Stage?

Client Stage is a business process monitoring system that tracks the status of the relationship with each client. The Stage monitors the client themselves through the different phases of the sales and collaboration cycle.


🎯 Objective

Manage and update client statuses in order to promptly monitor business opportunities. This functionality is useful because:


Commercial visibility - Complete monitoring of the sales process

Team coordination - Colleagues know which clients are being worked on

Identified opportunities - Dormant clients or pending proposals easily visible

Relationship history - Traceability of each client's status


📊 "Client Stage" in Detail:

🎯 1. Prospect

Meaning: Client identified but not yet contacted with a commercial proposal

When to use:

  • Potential client identified
  • First phase of the commercial process
  • No proposal has been sent yet

📧 2. Proposal Sent

Meaning: Client to whom a commercial proposal has been sent

When to use:

  • Commercial proposal sent and awaiting response
  • Client is evaluating the offer
  • Active negotiation phase

✅ 3. Active

Meaning: Active client with signed contract

When to use:

  • Client has signed the contract
  • One or more searches have started
  • Long-term contract active
  • Ongoing collaboration

💤 4. Dormant / Job Closed

Meaning: Client we have worked with but currently there are no active Jobs

When to use:

  • Previous jobs have been closed/completed
  • No active search at the moment
  • Inactive client but with positive history
  • Future re-contact opportunity

❌ 5. Lost - Proposal Not Accepted

Meaning: Client to whom we sent a proposal that was not accepted

When to use:

  • Commercial proposal rejected
  • Client chose another supplier
  • Negotiation did not end successfully
  • Lost opportunity (at least temporarily)

✅ Management Best Practices

When to update statuses

Prospect → Proposal Sent:

  • As soon as you send the commercial proposal to the client

Proposal Sent → Active:

  • When the client signs the contract
  • When a search officially starts

Active → Dormant:

  • When all active Jobs have been completed/closed
  • No new immediate search scheduled

Proposal Sent → Lost Proposal:

  • When you receive an official rejection
  • When the client communicates they have chosen another supplier
  • When the negotiation definitively stops

📋 Accessing the Client Board

1. Open the Clients section

  • From the home page, select "Clients" in the left sidebar

2. Set the Board view

  • Move the cursor to the top right of the page
  • Locate the "Board" button
  • Click on "Board" to activate the column view

3. View the pipeline

The screen shows vertical columns representing each status:

  • Prospect - Potential clients
  • Proposal Sent - Proposals sent
  • Active - Active clients
  • Dormant / Job Closed - Dormant clients
  • Lost Proposal / Not Accepted - Lost proposals

4. Move clients between statuses

To update a client's status:

  • Locate the client card in the current column
    • Click and drag (drag and drop) the card
    • Drop the card in the desired status column
  • Access the client page
    • Select the menu on the right (three dots icon)
    • Select "Move Stage"
    • Select the desired Stage
  • The system automatically updates the client's status

🎯 Follow-up Strategies

Clients in "Proposal Sent":

  • 📅 Follow-up after 3-5 days
  • 📞 Courtesy call
  • 📧 Reminder email

"Dormant" Clients:

  • 🔄 Quarterly re-contact
  • 💼 New opportunities
  • 📰 Industry updates sharing

"Lost Proposal" Clients:

  • ⏰ Re-contact after 6 months
  • 🎯 New personalized proposal
  • 🤝 Relationship maintenance
