๐Ÿ“– What is a Long List?

A Long List is an Excel report that contains all candidates who have entered the evaluation process for a specific Job, i.e., all candidates present in the position (JOB) pipeline. It is the report to share with the client to show the progress of the search and highlight the work performed.

Generate and export a complete Excel report of all candidates in the pipeline, format it correctly, and prepare it for sending to the client.

๐Ÿ“‹ PART 1: Excel Report Generation

1. Search for the Job

  • From the search bar, search for the Job for which you want to create the Long List
  • Select the desired Job from the results

2. Access the Export menu

  • Once on the Job page
  • In the top right, locate the button with three dots (โ‹ฎ)
  • The button is located right below the button with the user's name
  • Click on the three dots to open the dropdown menu

3. Start the export

  • From the dropdown menu, select "Export"
  • A message appears indicating: "Long List generation is in progress"

4. Download the file

  • Wait for processing to complete
  • A green message appears indicating: "The export is ready"
  • Click on the link shown in the message
  • The Excel file is downloaded to the computer


๐Ÿ”ง PART 2: Formatting Issues Resolution

Common problem

If the Excel file, once opened with Microsoft Excel, is not correctly recognized (the columns all appear in a single column), follow these steps:

Solution: Text to Columns

5. Select the first column

  • Position the cursor on letter "A" (header of the first column)
  • Click to select the entire column A

6. Open the Text to Columns tool

  • In Excel's toolbar, select the "Data" tab
  • Click on "Text to Columns"

7. Follow the guided process

  • Select "Delimited" and Click on "Next"
  • These files are generated delimited by a comma
  • Therefore select "Comma" as the delimiter and Click on "Next"
  • In the next screen, click on "Finish"
  • The Excel file is formatted correctly, columns are now separated and readable

๐Ÿ“‹ PART 3: Customization and Sending

8. Remove unnecessary columns

  • Review all columns present in the file
  • Delete columns that are not necessary for the client
  • Keep only information relevant for the presentation
  • Examples of columns to remove: phone number, email.

9. Prepare for sending

  • Verify that all information is correct
  • Save the file with an appropriate name
  • Example: "LongList_JobName_Date.xlsx"
  • The Excel file is now ready to be shared
